Reviewed the end-to-end road transportation process covering dispatch planning, vehicle loading, e-way bill generation, LR preparation, transit tracking, proof of delivery (POD), shortage reporting, damage reporting, transporter billing, claim processing, and recovery management. Conducted discussions with Logistics, Dispatch, Stores, Finance, Sales, and transporter representatives.

Assess

Assessed controls over vehicle loading, dispatch documentation, weighbridge records, GPS tracking, POD verification, claim approvals, transporter settlements, insurance claims, and accounting treatment. Evaluated segregation of duties and maker-checker controls.

Identify

Identified repetitive shortage and damage claims from specific transporters/routes, claims unsupported by weighbridge records or POD exceptions, manipulated delivery acknowledgements, duplicate claims, excessive detention claims, delayed reporting of shortages, weak investigation procedures, and inadequate reconciliation between dispatch quantity and delivered quantity.

Analyze

Performed transporter-wise, route-wise, vehicle-wise, customer-wise, and product-wise claim analytics. Conducted dispatch-to-delivery reconciliation, weighbridge variance analysis, trend analysis of shortages and damages, exception testing, recovery analysis, and identification of abnormal claim patterns indicative of possible manipulation or collusion.

Recommend

Recommended implementation of a centralized logistics claims governance framework, mandatory POD verification, GPS-based trip validation, digital proof capture, maker-checker approval controls, transporter risk rating mechanism, automated exception reporting, route-wise claim monitoring, and periodic forensic review of high-risk claims.

Implement

Assisted management in developing claim validation SOPs, transporter performance scorecards, claims investigation protocols, recovery tracking dashboards, approval matrices, route risk assessment models, and ERP-based claim monitoring workflows.

Monitor

Established monthly transporter performance reviews, route-wise claim dashboards, shortage and damage trend analysis, claim ageing reports, recovery monitoring, exception reporting, and management review mechanisms for high-risk claims and transporters.
